    The Economist took the decision to expand its presence in the UK and build a centre of excellence for engineering and delivery in Birmingham. This is an exciting opportunity to be the office manager administrator for this new location in the heart of Birmingham helping us create a co-located group of expert technologist that will enable the creation of our world class products in support of our world class journalism.

    Accountabilities

    How you will contribute:

     

    • Set up, attend and capture of actions at (bi) weekly meetings
    • Ensuring smooth running of office on a day to day basis
    • Ensuring all external meetings are set up are catered for accordingly
    • Liaising with Purchasing Manager on desk moves/new starters including fobs iPhones/Laptops/Extensions ext
    • Ensuring passports are scanned and all documents are signed by new starters and freelancers where required (incl. NDA’s)
    • Liaising with Line Managers on induction plan for new starters
    • To record all holiday and sickness within the Technology team and ensuring line managers sign return to work forms for their team
    • Working closely with the purchasing manager to record office expenditure
    • Maintaining supplies of stationery and equipment
    • Working with Facilities team and Purchasing Manager to ensure that health and safety policies are up to date (Fire Wardens, First Aiders etc)
    • Liaising with Landlord on any day to day office maintenance issues and recording it with the Purchasing Manager
    • Day to day contact for local suppliers
    • Attend review meetings with Purchasing Manager and Landlords to ensure smooth running of office and raise any issues
    • Assisting with organising internal training sessions for Technology staff when needed
    • Implementing and maintaining procedures/office administrative systems
    • Assist with the coding of invoices in the finance system across the Technology team
    • Executive assistant to the Chief Technology Officer

    • Ability to manage a heavy workload and at times conflicting priorities as well as tracking progress on a wide range of tasks
    • Excellent interpersonal skills
    • Excellent typing skills with the ability to draft own correspondence
    • Ability to communicate effectively, both orally and in writing
