    We are looking for a conscientious Personal Assistant to provide comprehensive secretarial and administrative support and assistance to the Chief Legal and Corporate Development Officer & Company Secretary and his team in order to fully maximise their effectiveness and efficiency.

    The role will suit someone capable looking to make a step up in responsibility, learning from the CEO’s Executive Assistant until ready to take on the role fully. 


    How you will contribute:

    • Manage the diaries of the Chief Legal and Corporate Development Officer and his team.
    • Process, keep records of, and accurately code invoices and expenses
    • Support with the company’s trademark applications and oppositions and intellectual property infringements
    • Manage databases of contacts
    • Manage filing systems, archiving, scanning, printing and mailings for the team
    • Carry out general secretarial responsibilities including typing correspondence, typing up minutes, contracts and other documentation, post, telephone and e-mails, servicing internal meetings, sickness, holiday records and travel itineraries for the legal / cosec team
    • Work with and when needed provide cover for the EA to the CEO and CFO
    • Ordering stationery
    • Provide administrative support to the EA to the CEO in relation to board meetings and various other senior team meetings 

    Once comfortable in the role:

    • Take over from the EA to the CEO the responsibility of being the main point of contact for non-executive members of the board and management committee
    • Service requirements of the board, board committees and other management committees, including co-ordination of board and committee agendas and papers, as well as the company’s AGM
    • Be one of the first points of contact for internal and external queries, including shareholder queries
    • Use an in depth knowledge of the Group’s businesses and contacts to deal efficiently with or refer enquiries (both external and internal).

    This role has a significant administrative component, particularly in terms of supporting the Deputy Company Secretary. This includes filing, correspondence and general administrative assistance with company secretarial matters and requires particularly strong skills and attention to detail in this area.  

    Experience, skills and professional attributes

    The ideal skills for this role are 

    • Assistant or secretarial experience
    • Advanced Word, Excel and PowerPoint
    • A high standard of written and spoken English 
    • The ability to represent Board-level executives 
    • Experience at board level is a plus but not essential, as is knowledge or previous experience of organising board-level meetings
    • Excellent communication skills at all levels
    • Ability to organise, prioritise and multi-task
    • An excellent telephone manner
    • Ability to be confidential and discreet
    • Attention to detail
    • A high level of literacy and numeracy
    • Self-motivation and ability to work in a team
    • A positive/pro-active attitude with an ability to remain calm under pressure
    • Reliable and conscientious
    • Willingness to learn – including new systems and skills
    • An approachable and friendly demeanour
