The role of Personal Assistant is to provide comprehensive secretarial and administrative support and assistance to the EVP, Corporate Development, Group General Counsel and Company Secretary (“GC”) in order to fully maximise their effectiveness and efficiency

Accountabilities

In this role you will be expected to:

  • Be the main point of contact for non-executive members of the board and management committee
  • Service requirements of the board, board committees and other management committees, including co-ordination of board and committee agendas and papers , as well as the company’s AGM
  • Be one of the first points of contact for internal and external queries, including shareholder queries.
  • Use an in depth knowledge of the Group’s businesses and contacts to deal efficiently with or refer enquiries (both external and internal)
  • Manage the diaries of GC, Senior Counsel and Deputy Company Secretary
  • Process, keep records of, and accurately code invoices and expenses
  • Support the GC with the company’s trademark applications and oppositions and intellectual property infringements
  • Manage databases of contacts
  • Filing systems, archiving, scanning, printing and mailings for the team
  • General secretarial responsibilities including typing correspondence, contracts and other documentation, post, telephone and e-mails, servicing internal meetings, sickness, holiday records and travel itineraries for the legal / cosec team
  • Work with and when needed provide cover for the EA to the CEO and CFO

 

This role has a significant administrative component, in particular in terms of supporting the Deputy Company Secretary. This includes filing, correspondence and general administrative assistance with company secretarial matters, such as employee share ownership bidding plan, shareholder communications and the management of domain names.

Experience, skills and professional attributes

To succeed in this role you must have:

 

  • A level (or equivalent) / professional secretarial qualification – desirable
  • Significant experience at senior level in similar environment
  • Experience at board level is desirable as is knowledge or previous experience of organising board-level meetings
  • Advanced Word, Excel and PowerPoint
  • A high standard of written and spoken English
